General Purpose of Processing and Legal Basis
Our service is intended to provide information and enable communication in order to fulfill public tasks assigned to us by law. To the extent that we process personal data for this purpose, this is based on Article 6(1)(e) of the General Data Protection Regulation (GDPR) in conjunction with Article 4(1) of the Bavarian Data Protection Act (BayDSG).
Obligations to Provide Data
Use of our service is generally possible without providing personal data. Where users provide personal data via the contact form, this is done voluntarily. However, without providing such data, it is not possible to process the respective request.
Specific Processing Purposes, Categories of Data, and Sources
Each time our service is accessed, data is automatically transmitted by the web browser to the web server. This includes in particular:
IP address of the requesting device
Date and time of access
Name and URL of the retrieved file
Access status (e.g., successful transmission)
Amount of data transferred (if applicable)
Information about the browser and operating system used (if applicable)
Depending on browser configuration, additional information about the browser and operating system may also be transmitted.
This data is processed in order to:
provide the service with the requested functions,
ensure the security and stability of our systems,
and manage system administration.
If users contact us via the contact form, the transmitted contact details and the content of the inquiry are processed to handle the request.
Categories of Recipients
Recipients of the personal data we process are IT service providers responsible for the technical operation of the university systems. Data will only be shared with other recipients if legally required.
Storage Duration
Personal data is stored only as long as necessary to fulfill the stated purposes.
Data collected during simple access to the service is generally deleted within 30 days.
Data submitted via the contact form is deleted once the request has been processed, unless statutory retention obligations apply.
Rights of Data Subjects
Under the General Data Protection Regulation, data subjects have the following rights:
Right to obtain confirmation as to whether personal data concerning them is being processed and, if so, access to that data (Art. 15 GDPR)
Right to rectification or completion of inaccurate or incomplete data (Art. 16 GDPR)
Right to erasure of personal data or restriction of processing, where legal conditions are met (Art. 17 and 18 GDPR)
Right to object to processing based on personal circumstances at any time (Art. 21 GDPR)
Right to withdraw consent at any time with future effect, where processing is based on consent
Right to lodge a complaint with a supervisory authority (Art. 77 GDPR)
